Summary
Your printer is switched on, there is paper in the tray, and Windows still says it is offline. That word is a state of the Windows print queue, not a message from the printer, which is why restarting the printer on its own so often changes nothing. Windows has a setting called Use Printer Offline that holds a queue in that state until someone clears it, and a stalled print spooler or a stuck job looks identical from the outside. This page walks Microsoft's own order for a printer that is not responding, cheapest and most reversible first, and stops at the point where the answer belongs to your printer's manufacturer.

Software instructions rot, so the first thing this page asks you to do is read the version and OS build your PC is actually running. That is the first section here, not a footnote. Where Microsoft documents two ways to do the same thing, this page takes the one you can do from the Windows interface and names the other rather than instructing it, which is why there is no registry edit here and no command line. Every step traces to a Microsoft article, and those articles are linked in the sources.

When to use a professional
Stop if the display panel of the printer shows a hardware fault. Speak to the printer manufacturer. Do not open the printer. Do not remove parts from the printer.
Stop if an employer or a school controls your PC. A policy on a controlled PC can stop the Print Spooler service. Speak to your IT administrator.
Stop if the printer stays offline after the last step. The driver and the firmware for a printer come from its manufacturer. Speak to the printer manufacturer. Give them the Windows version and the OS build from the first section.
Common questions
Why does my printer say offline when it is switched on and connected?
Offline in Windows is a state of the print queue, not a report from the printer. Windows has a setting called Use Printer Offline that puts a queue into that state and keeps it there until someone clears it, and Microsoft's KB 2027593 documents a case where a rebuilt queue inherits the flag from a deleted one. A stalled Print Spooler service or a stuck job produces the same symptom from a different cause. That is why this page starts with the cheap, reversible checks and only reaches the driver at the end. The printer being on and connected rules none of it out.
My printer says offline after a Windows update. Is this page still right?
Possibly, and that is exactly why this page names the version it was written against. Microsoft ships Windows 11 quality updates on the second Tuesday of every month, so the build number on your PC moves even when the version does not. This page follows Microsoft's documentation as it stood on 29 July 2026, when the current Windows 11 versions were 25H2 (OS build 26200.8894), 24H2 (26100.8894) and 26H1 (28000.2525). If your version is not one of those, the sequence of checks still holds, but a menu name may have moved, and Microsoft's own articles are linked in the sources. Read your version and build from Settings, System, About first — that is the first section here for this reason.
Should I edit the registry to fix an offline printer?
Not from this page. Microsoft's KB 2027593 does give a registry route, deleting the PrinterOnLine value under HKEY_CURRENT_CONFIG, and it gives it as an alternative to clearing the Use Printer Offline setting in the printer's own window rather than as the preferred fix. We follow the interface route because it survives a Windows update and a registry edit does not: a key that quietly stops applying looks exactly like a fix that worked. The article also says the interface route resets that same registry value, so you lose nothing by taking it. If you want the registry detail it is in the linked article, in Microsoft's words rather than ours.
Does any of this work on Windows 10?
The sequence does, and Microsoft's printing troubleshooting articles are not written per version. Be clear about what you are running, though: Windows 10 reached end of support on 14 October 2025, and version 22H2 is listed as End of updates for Home, Pro, Education and Enterprise alike. Devices enrolled in Extended Security Updates were on OS build 19045.7548 as of 14 July 2026. Menu names differ from Windows 11 in places, which is why the steps here have you search from the taskbar instead of walking a Settings menu that has been renamed.
Do I need to be an administrator to do this?
For most of it, no. Clearing Use Printer Offline, restarting the printer and cancelling documents in your own queue do not need it. Restarting the Print Spooler service does, and so does uninstalling a driver in Device Manager. If an employer or a school manages your PC, a Group Policy setting can stop or disable the Print Spooler service outright, and Microsoft's article on the spooler says to check for exactly that. At that point this is a call to your IT administrator, not a fix you can apply yourself.
What is the print spooler, and why does restarting it help?
The Print Spooler is the Windows service that accepts documents, queues them and hands them to the printer. Microsoft describes it as starting with Windows and running until the operating system shuts down, and as containing Windows binaries plus optional vendor-supplied components. When it stalls, documents pile up in the queue and nothing reaches the printer, which Windows can surface as an offline printer rather than as a service fault. Restarting it is the first method Microsoft lists, it is reversible, and it costs you nothing except the jobs that were already stuck.
How do I stop my printer going offline again?
This page does not promise that, and it is worth saying so plainly. Microsoft's documented follow-ups are the two at the end of the sequence: keep the printer driver current from the manufacturer's own site, and install the firmware the manufacturer publishes. Microsoft's known-issues article is explicit that Windows printer drivers are developed jointly with the hardware vendor that makes the print device, so a fault that keeps returning on one model is a question for that vendor. If it comes back after every restart, take it to the manufacturer with your Windows version and OS build in hand.
